Tayden Impact Partners – Case Study

Executive Summary

Tayden Impact Partners is an organizational development and DEI (Diversity, Equity, and Inclusion) consulting firm based in Nashville, TN. The Challenge

Before partnering with Zenatta, Tayden Impact Partners struggled to manage their business effectively due to disjointed systems. As a consulting firm with five team members, they relied on a combination of Honeybook, Monday, and six other applications to handle various functions such as project management, CRM, and client communication. However, this approach left them bogged down by manual processes, resulting in inefficiencies and operational bottlenecks.

The Implementation

Zenatta implemented a comprehensive Lead-to-Deal journey for Tayden Impact Partners, streamlining their client acquisition and project management processes using Zoho One. This solution integrated various Zoho applications, creating a seamless workflow from initial lead capture to project completion and invoicing.

Leads

Leads were captured through a Zoho Form embedded on Tayden’s website. The form included a subform to manage multiple organizational contacts, allowing for efficient data collection. To enhance this functionality, Zenatta created a custom lead conversion button. This button automated the process of generating additional contact records related to the account after the primary contact, account, and deal were created, ensuring all relevant information was available in one place.

Deals

Once a lead converted into a deal, Zenatta optimized the process by syncing various forms to the Deal and Contact records. This ensured that all client data was consistently updated throughout the customer journey. Contracts signed by clients were automatically uploaded to the Deal’s WorkDrive folder, while a corresponding Zoho Project was created to manage the project’s finer details.

Additionally, Zenatta automated the creation of the first invoice, eliminating manual tasks and ensuring timely billing.

Zoho Flow

Zenatta leveraged Zoho Flow to automate key processes, including the upload of contracts to WorkDrive and the handling of Zoho Form submissions. These automations ensured that important documents and data were instantly accessible, reducing the risk of errors or delays in the workflow.

WorkDrive

For document management, Zenatta implemented a standardized folder generation system in WorkDrive for Accounts and Deals. Each account had a predefined folder template that could be adjusted as needed, allowing Tayden to create customized subfolders for better organization and easy retrieval of critical documents.

After implementing Zoho One with Zenatta’s guidance, Tayden Impact Partners experienced transformative results. The efficiency gains were immediate, with the firm reporting a 50% reduction in manual processes. This allowed their team to focus more on client work rather than administrative tasks, leading to a 30% improvement in client response times. Furthermore, by consolidating their software, Tayden reduced costs by 35%, streamlining their expenses and eliminating redundant subscriptions.
