Say NO To Duplicate Records

This snippet was taken from the CRM Zen Show featuring Zenatta’s Brett Martin & Tyler Colt.  Brett covers the value and steps to prevent and clean up duplicate records.  Lets take a look at the three key take aways from this video.

  1. Unique Fields
    • By toggling the Do Not Allow Duplicate Values feature you can turn a field into a Unique ID. 
    • This prevents anyone in your company using the CRM from creating the same record twice. 
    • Email is a good example of when this would be applied.
  2. How to Dedup
    • Go to the Module you wish to check for duplicates i.e. Accounts/Leads/Deals/Contacts
    • On the upper right side of the screen click on the . . .
    • Choose Deduplicate <MODULE NAME>
    • Then select the fields you wish to check for duplicates
    • Once selected click Find and Merge Duplicates
  3. The Value of Clean Data
    • Having data in the wrong location can be both time consuming and cost your company money by unnecessary mistakes caused by having 2 of the same record.
