Zoho Books – Overview Part 2

Earlier this week we covered the initial integration of Zoho Books with Zoho CRM.  Now that this power couple is bound together let us go over what they can do!  For starters, the two-way sync of contacts, vendors, and products will prevent dupes and ensure that information is correctly updated to both.  All quotes, invoices, and sales orders will sync from books into your CRM to the applicable modules and field setup.  This can be quite powerful for both your sales and finance team to have real-time data synchronizing your different departments within your company.

Want one word that simplifies all of your work? Automation! Let’s take a look at how to improve your business’s financial automation. Today we will give a walkthrough on Field Updates for Automation.

First, go ahead and sign in to your books.zoho.com.

Next on the upper right Click Settings(cog wheel) –> Click Automation

Then Click +New Workflow Rule which should bring you to this screen:

In this example, we are going to Select an Event-Based workflow type that will trigger When an Estimate is Created.

We will go ahead and use the following data for this example for step 3 to set Filter Triggers.

Filter the triggers

Once this is done we now move onto actions. Like Criteria for your trigger, you can have multiple actions depending on what you want to have done. By checking the “Would you like to add time-based actions?” you can specify when you want the action to execute. If you were to create an expiration date, for example, based on the workflow rules we set up if the invoice created was for over $500 then an expiration date would then be set with that invoice.

As one can see if used properly the amount of power that resides in workflow rules is astronomical. Keep in mind this example is barely breaking the ice of the possibilities. Stay tuned for our advanced guides coming in 2020!
